WhatsApp appointment reminders — messages you can copy
Ready-to-send wording for confirmations, reminders, day-of messages and no-show follow-ups — and when to send each so it gets read.

A good reminder is not politeness. It is the cheapest thing you can do to reduce no-shows, and most "last-minute cancellations" are not cancellations at all — they are people who forgot.
The problem with the wording most businesses send is that it is written from the business's point of view. "Reminder: you have an appointment" gives the customer nothing to do. Everything below is written so it can be answered in one word.
Confirmation, immediately after booking
The most important message, because it is the one that gets kept. It needs to contain what they will look for later: when, where, and how to change it.
- Hi [name], you are booked! [service] on [day] [date] at [time].
- Address: [address]. To change or cancel — [link], up to [24] hours before.
- See you 🙂
Put the date and time on their own line. Someone searching for this a month later is scanning, not reading.
Reminder, 24 hours before
This is the one that produces early cancellations — which is exactly what you want. A cancellation the day before is a slot you can resell; a no-show is an hour gone.
- Hi [name], quick reminder — [service] tomorrow at [time].
- Still good? You can just reply "yes".
- If something changed, move it here: [link]
Do not write "confirm or your appointment will be cancelled". That produces anxiety rather than attendance, and the customers most likely to forget are also the most likely to miss the ultimatum.
On the day, two or three hours ahead
Short. There is no decision left to make at this point, only navigation.
- See you today at [time] 🙂 [address]
- [directions link]
After a no-show
This one is worth real money and most businesses never send it. Tone decides everything: someone who missed already feels awkward, and added pressure simply means they do not come back.
- Hi [name], today did not work out? It happens.
- If you would like to rebook — [link], there is room on [day].
An open question, not an accusation. "Did not work out?" gets a reply; "you missed your appointment" gets silence.
Timing matters more than wording
- Confirmation — immediate. After half an hour they are no longer sure anything was booked.
- Reminder — 24 hours. 48 is too early to remember, two hours is too late to cancel gracefully.
- Day-of — 2–3 hours before, not first thing in the morning.
- After a no-show — same day. The next day it starts to feel like collection.
In Sagarnu the confirmation goes out automatically. Even with nothing configured, one reminder is sent about two hours before — provided the appointment was booked far enough ahead; something booked at the last minute is already past that point and gets no reminder. You choose the intervals in settings, and a second reminder is something you add. If WhatsApp cannot deliver, the message falls back to SMS. How it works.
Common questions
How long before the appointment should a reminder be sent?
Two reminders work better than one: the first 24 hours ahead, while there is still time to cancel and free the slot for someone else, and the second on the day itself, two to three hours before. In Sagarnu you pick from a fixed set of intervals — 1, 2, 3, 6, 12, 24, 48 or 72 hours — and more than one reminder can run for the same appointment.
What must a reminder message include?
Four things: the business name, the exact date and time, the service that was booked, and a simple way to cancel or move it. Without the cancel option a reminder reduces lateness but not no-shows — someone who cannot make it simply does not reply.
Is WhatsApp better than SMS for reminders?
In Israel WhatsApp is read almost every time and lets the customer reply in the same thread, so Sagarnu sends it first. If the message cannot be delivered on WhatsApp it goes out by SMS instead — one chain, not two separate messages. The switch is per message type (confirmation, reminder, cancellation), not per channel, so there is nothing to pick between.
How do you reduce no-shows?
A well-timed reminder is half the work. The other half is making cancellation easy: a customer who cancels two days ahead is not a loss, they are a freed slot. In Sagarnu the customer cancels from the link they were sent and the freed slot becomes bookable again. There is also a no-show follow-up, sent automatically once you mark the appointment as a no-show — it is off by default and switched on in notification settings.
