A free appointment calendar — four questions to ask before trusting "free"

"Free" means something different in every system: a trial, a monthly cap, or a card required at the end. Four questions worth asking, and our own answers to them, unrounded.

Searching for a free appointment calendar returns ten systems that all say free and mean four different things. The gap usually shows up in the second month. Four questions are enough to know in advance.

1. Is it a free plan or a free trial?

This is the only question that really matters, and the easiest to miss. A free plan keeps existing even if you never pay; a trial is full access for a limited time. Both are legitimate, and one page can show both side by side — what separates them is what happens on the day the trial ends, which is exactly the question most pages leave unanswered.

💡

Quick check: look for the word "days" next to the price. "14 days" is a trial. No expiry date means a plan.

There are three possible answers for the day after, and it is worth knowing which one you were given: payment is required to continue; access is cut off; or you land on a free plan. At Sagarnu it is the third — the 14-day Pro trial needs no credit card, and when it ends without one you move to the free plan owing nothing.

2. What is the cap, and in what unit?

Nearly every free plan has a ceiling, and that is fair. What confuses is the unit: appointments per month, messages per month, customers stored, staff members — four different numbers that are easy to swap. A system that says "50" without saying 50 of what has not answered the question.

Measure the cap against your real volume rather than the volume you hope for. A business doing 30 appointments a week has already passed any two-digit monthly ceiling.

3. Does starting require a credit card?

A card at signup does not make the plan paid, but it flips the default: instead of deciding whether to upgrade, you have to decide whether to cancel. If you are only testing whether the system fits, that is a practical difference.

4. What is not included — and where it stops

A free plan is almost always limited to one user. That is entirely fine for a one-person business, and it is the first wall you hit the day you hire someone. Worth knowing where the wall is, rather than finding it mid-week.

What Sagarnu includes for free

Our answers to those same four questions, unrounded:

  • A free plan, not a trial. There is no expiry date. (A 14-day trial does exist, but it belongs to the Pro plan, not this one.)
  • Up to 25 appointments a month, and 50 messages a month. Two numbers, two units.
  • No credit card at signup.
  • One business owner. A team means Pro.
  • Also included free: your own booking page, your customer list, and a waitlist.

The full breakdown, including what does require Pro, is on the pricing page.

When a free plan is the wrong choice

If more than one person takes appointments, a single-user plan stops you in the first week — not because of a cap, but because a team calendar is precisely what it excludes. Better to know that before moving your customers across.

Is there a genuinely free appointment calendar?

Yes, and at Sagarnu it is a plan rather than a trial — it does not expire. It is limited to 25 appointments a month and one business owner, and needs no credit card.

What is the difference between a free plan and a free trial?

A free plan continues indefinitely, in exchange for a cap or fewer capabilities. A trial is full access for a fixed period, and the difference that matters is what happens at the end — some vendors require payment, some cut access off, and at Sagarnu a Pro trial that ends without a card lands on the free plan.

Do I need a credit card to start for free?

At Sagarnu, no. A card is only needed if you choose to upgrade.

How many appointments does the free plan allow?

Up to 25 a month. Beyond that requires the Pro plan.
